Objectives

The primary objective of the Controller of Examinations is to ensure the smooth, fair, and transparent conduct of all examinations within the university. The Controller is responsible for the planning, organization, execution, evaluation, and result declaration of university examinations in a timely and efficient manner.

  • To maintain the integrity and confidentiality of the examination system.
  • To organize and manage all pre-examination and post-examination activities.
  • To ensure timely conduct of exams and declaration of results.
  • To coordinate with departments and faculty for setting question papers and evaluation.
  • To implement technology for efficient examination processes (like online exams, digital mark entries, etc.).
  • To prepare and issue certificates, mark sheets, and transcripts accurately.
  • To maintain transparency and fairness in all examination-related procedures.

Activities and Functions

The Controller of Examinations (CoE) plays a vital role in maintaining the integrity, efficiency, and smooth functioning of the university’s examination system. Here are the key activities and functions:

1. Planning and Scheduling

  • Prepares the academic calendar related to examinations.
  • Schedules internal and external exams in coordination with departments.

2. Exam Form Processing

  • Ensures proper distribution, collection, and verification of exam forms.
  • Maintains student eligibility records for appearing in exams.

3. Question Paper Management

  • Collects question papers confidentially from subject experts.
  • Ensures secure printing and distribution of question papers.

4. Conduct of Examinations

  • Organizes and supervises both theory and practical exams.
  • Appoints invigilators and examiners.
  • Prevents malpractices and ensures fair conduct of exams.

5. Evaluation and Results

  • Coordinates answer script evaluation.
  • Processes and publishes results in a time-bound and error-free manner.
  • Handles revaluation, scrutiny, and rechecking requests.

6. Record Maintenance

  • Maintains academic records, marksheets, and transcripts.
  • Issues consolidated marksheets, degree certificates, and provisional certificates.

7. Grievance Redressal

  • Addresses student complaints related to exams or results.
  • Facilitates fair and transparent resolution mechanisms.

8. Compliance and Policy Implementation

  • Ensures adherence to university, UGC, or regulatory guidelines.
  • Implements examination-related policies and reforms.

9. Confidentiality and Integrity

  • Maintains confidentiality in all examination processes.
  • Prevents data leakage and unauthorized access.

10. Use of Technology

  • Introduces digital solutions like online exam forms, OMR evaluation, e-result declaration, and digital marksheets.
